Minimum Requirements. The iLead system requires the following minimum system requirements: (1) Screen resolution of 1280 x 768 pixels, and (2) Internet Explorer, version 6.0.
iLEAD SECURITY: For security reasons, please ensure that any sales manager that is no longer with your hotel has been deleted from the system. iLead Administrators have the ability to add & delete users.
TWO IMPORTANT REMINDERS FOR iLEAD CLEANING to help you get things in order & BOOK BUSINESS!....
1.Leads Ignored/ Hotel Activity Report- Great progress has been made in working on the number of ignored leads &responding to them. The majority of the leads in this status can remain ignored without knowing because they have been assigned to someone who is no longer with the property or does not login frequently so the lead sits ignored. The quickest way to identify this is to run the Hotel Activity Report (only the hotel iLead Admin can run this).
2.Hotel Proposals & iLead Profile info- Some of our NSD’s & Meeting Planners have found that there are frequent hotel proposals missing key contact information or detailed proposals that address the RFP. Please review your profile information & proposal process. Customized proposals stand out immediately when the meeting planner is reviewing the hotel responses & look much nicer if you use the customized options iLead offers instead of using an attachment or just entering rates & dates alone.
Cheat Sheets on how to run the Hotel Activity Report & update profiles have been sent to the iLead Hotel Administrators, but if you did not receive a copy please email the iLead Help Desk & we will send you a copy.

Session Cleanup (August 6, 2010):
To improve performance, a session cleanup job runs at noon, 8pm and 4am daily (Pacific Standard Time). This job performs the following tasks:
Logs off users who do not log off. When a user shuts down the internet browser instead of logging out (by selecting the Logout link), the session is still active even though it is not actually in use.
Logs off users after 8 hours. Computer resources are still being used every time a user logs in, regardless of when users are actually using it or not.
Help Link Available (July 13, 2010):
The User Productivity Kit (UPK) offers online training for iLead users.
Follow these steps to get help:
To access the UPK, select the Help link from the top right hand side of each iLead web page. The UPK displays in a new Internet Explorer web page.
Select the Help information desired by drilling through the help information in the left pane of the UPK page.
When you reach the desired help information (at the lowest level of the tree in the left pane), you have 4 options to select from: See It (enables you to learn by wating an animated demonstration of tasks being performed in a simulated environment. As tasks are performed, information is provided explaining the steps being performed), Try It (enables you to learn a task by practicing in a simulated environment with step-by-step instructions and guidance throughout the task. If you make a mistake, you are prompted to try again. Whenever text input is required, the text must be entered EXACTLY as suggested to advance to the next step. If the step does not automatically advance after you enter the requested input, you may need to modify your entry. If you feel that your entry is also an acceptable one, you can click the Typing Complete button to submit it. If your entry is also considered a correct response, the step will advance. Otherwise, you will be prompted to enter the requested text. Because you are using a simulated environment, your actions will have no impact on iLead dta or settings), Know It (enables you to test your knowledge of a task in a simulated environment. You are presented with the score needed to pass, and you may also receive instructions for completing the assessment or other pertinent information.), Do It (you are guided through a task while you perform it in the live application. This unique mode makes it possible for you to accomplish real work while you learn), and Print It (toprint the help information).
Select the desired option (See It, Try It, Know It, Do It, Print It) and follow the instructions in the screens displayed.
NOTE: Please disable the pop-up blockers of the MS Internet Explorer before selecting the Help link. To disable the Internet Explorer pop-up blockers, follow these steps:

Web Page Problem (June 9, 2010):
We are experiencing problems with the iLead program during the early morning when the systems do their updates and back up causing the iLead system to go down. Until the issue is permanently resolved, we will have our IT team begin continuously monitoring the system beginning at 5am PST. If the system shuts down, they will be able to have it back up within 5 minutes.
We apologize for the inconvenience and should have the problem resolved as soon as possible.
Version 2.0 Software Upgrade (June 1, 2010): The iLead software has been enhanced with the following features:
General Changes:
Text boxes (used normally for long description, messages, etc) now can accommodate up to 32,767 characters.
Ports Used. Port 80 and 443 must be open in hotel firewalls. The web pages use port 80. The single-sign on uses port 443.
Emails. iLead specific emails (Decline, Lost Business, etc.) has a View This iLead link. When users select this link and enter their iLead login, the iLead Hotel page displays the specific iLead automatically.
Simplified screens. Normal pattern to enter data: enter information, select the [Save] button:
If there are no errors, a notification message is displayed. Press the [Continue] button to continue.
If there are errors, error message is displayed and select the [Back] button to go back to the screen to correct the errors. This is the only time the [Back] button displays in the lower section of a page -- below the error message/s.
Button positions. Button controls are displayed in the top and bottom portion of the data for ease of navigation. When there are errors during the data entry, the [Back] button displays directly below the error message.
Multi-record pages. All pages that displays more than 1 record has the following features:
Page control buttons to view data pages: First (page), Previous (page), All (pages), Next (page), Last (page).
Total record count is displayed. The current page is shown: Example: Total Records, All Records Shown; Total Records: 250, Current Page: 1 of 75.
Sortable columns (pointer changes to finger the cursor is positioned in the column) and non-sortable columns (cursor changes to I when the cursor is position above the column) are supported. When you select a sortable column the data is soted by that column. If you select the sortable column again, the sort order toggles (ascending changes to descending, descending changes to ascending).
Hotel Web Page. There is only one page for both hotel administrators and hotel users.
Revision. Revision details from iLead v1.0 are not converted to the new iLead v2.0.

New Forgot your Password? link to allow users to reset their own passwords. This is only possible if a Password Reset Hint has been previously defined by the user.
Self-registration page for Hotel Administrators and ConVis users:
Notify iLead Administrator for new user to be approved/declined.
ConVis users have the following access: view only or update
Hotel Administrators can manage 8 different hotels with a hotel defined as the default.

Password tab. New Password tab to reset user's password, and/or define a Password Reset Hint. The Password Reset Hint is required by the Forgot your Password? link.

Hotel Profile. Changes include:
Hotel Administrators can update hotel profiles.
Hotel users can only view hotel profiles. The fields are in grey to specify non-updatable fields.
Display the following record information during change, delete & view: Created By, Created, Last Updated By, Last Updated.
As long as the hotel profile's URL is defined correctly, clicking on the logo image will direct the user to the hotel website specified.
Proposal changes. Changes include:
The meeting space/room can now be defined using a sortable time range. These records are sorted by Meeting Date, Meeting Start Time, and Meeting End Time.
The meeting space/room Comments field displays in the Proposal's Preview tab.
When using the copy feature to create meeting space of an existing meeting space, the user has the option of copying the comments from the existing meeting space.
To avoid confusion when selecting Contents from the hotel profile's Content Template, the new process is to select a Content Template and then select the Save button to save it.
Definite Booking Notice. Changes include:
View proposals in the Booking Notice List is now available.
Displays the [Transmit] button only after all the proposals have a corresponding Definite Booking Notice.
Booking Notice's Preferred Dates can be before the current date.
The Booking Notice As Of Date can NOT be 7 days before the current date.
Pickup. Changes include:
View proposals in the Pickup List is now available.
Displays the [Transmit] button only after all the definite Booking Notices have a corresponding Pickup.
Pickup's Preferred Dates can be before the current date.
Hot Rates/Dates. Changes include:
Only hotel administrators can add, change and remove hot rates/dates information.
If the From Date and To Date range of the hot rate/date information is before the current date, it is automatically deleted.
Meeting Planner
Displays the current iLead distribution list and the corresponding proposal status of each hotel.
Shows the description and comments for hotels that declined the iLead.
Alternate Proposals have a status of 'Propose Via Alternate Source' to show that the hotel sent a proposal using an alternate source.
Displays the hotel staff (includes name, phone and email address) that created the proposal as the contact for the meeting planner.
Displays the member logo (if uploaded). If the meeting planner clicks the logo, the member website displays.
Sales Users Only
Main Page
Specifies when the meeting planner has viewed a proposal of the corresponding iLead.
Manage Distribution List
Include Committable Rms (from Hotel Profile) when selecting members to be added to a distribution list

Only for the initial and subsequent iLead distribution, the email is turned off if the meeting name has a 'DUPE' suffix
Hotel emails.
Hotel Email recipients. If the iLead is assigned, the email is sent to the assigned hotel user and the hotel administrator/s (plus any defined hotel email preference email accounts) are copied. If the iLead is not assigned or the assigned user has a bad email account, the email is sent to the hotel administrator/s, plus any defined hotel email preference email accounts.
iLead Distribution. When an iLead is distributed to a hotel member, only the hotel administrators (and defined hotel email preference email accounts) are emailed.
iLead Assignment. Only if there is a change to the Assignment, the Assigned user gets an email. If there was a previous assignment, the previous assigned user is also copied. The hotel administrator/s (plus any hotel email preference email accounts) are copied.
Follow Up/Notify. Follow up emails from the CVB sales manager are sent to the Hotel Email recipients of selected hotels in the iLead distribution list.
Release Email. When hotels are released from the bidding process (before decision status, after decision status, or before definite), the released and open hotels of the corresponding iLead are notified via email.
Unrelease Email. When hotels are unreleased into the bidding process (before decision status, after decision status, or before definite), the unreleased and open hotels of the corresponding iLead are notified via email.
Decision Status Email. When the meeting planner selects the winning bidder, all the hotels the iLead were distributed to are notified of the winning hotel bid/s.
Booking Notice Email. A notification is sent to the hotel/s to complete their definite booking notice by the date specified by the CVB rep.
Lost Business. Lost business emails are sent to the specific iLead open distribution list (hotels that are not Released nor Declined). Hotel email recipients are emailed.
Undo Lost Business. When a lost business is reversed, an email is sent to the specific iLead distribution list, including users that declined the iLead previously. Hotel email recipients are emailed.
Decline iLead. If the user declining is not a hotel administrator, the Hotel Email recipeints are emailed and the person declining is copied.
Undecline iLead. If the user undecling is not a hotel administrator, the Hotel Email recipeints are emailed and the person declining is copied.
Revise iLead. All hotel members in the iLead distribution (including declined) are notified of any iLead revisions.
Approve hotel member. Since a hotel administrator can have more than 1 hotel member to manage, an email is sent to the hotel administrator/s after the iLead Administrator approves the hotel administrator's hotel member. Hotel administrators can assigned their approved hotel member/s to their own hotel users without requiring an iLead Administrator approval.
New Hotel User. When an administrator creates a new hotel user, the hotel user is emailed and the creator is copied.
Change Hotel User's member list. When an administrator updates a hotel user's member list, the hotel user is emailed and the creator is copied.
CVB Sales manager emails.
iLead Initial Distribution. When an iLead is first distributed, the CVB Sales manager receives an email .
iLead Hotel Proposal Transmission. When a hotel transmits a proposal, the CVB Sales manager is notified via email.
iLead Hotel Alternate Proposal Transmission. When a hotel transmits an alternate proposal, the CVB Sales manager is notified via email.
Meeting Planner emails.
iLead Initial Distribution. Unless the meeting planner opted to receive email during the initial iLead distribution, the meeting planner receives an email during the iLead Initial Distribution to hotel members.
iLead Hotel Proposal Transmission. Unless the meeting planner opted to receive emails of new proposals, an email is sent to the meeting planner after the hotel user transmits the proposal.
iLead Administrator emails. The following emails are sent to the iLead Administrator:
Hotel Administrator self-registration. When a hotel administrator creates a new user account using the New Hotel Administrator? Register here link, an email is sent for the iLead Administrator to approve/reject the new hotel administrator user account.
CVB Sales self-registration. When a new CVB sales user creates a new user account using the New User? Register here link, an email is sent for the iLead Administrator to approve/reject the new CVB Sales user account.
Remove a hotel user. When a Hotel Administrator removes a hotel user, an email is sent to the iLead Administrator.
